Even if recurring donations are not your immediate goal, a well-thought-out thank-you is the way to win them naturally. Yet it is often forgotten, or limited to just an automated email.

Donors want to know they are not just a number in a database. An automated email is necessary, but a real thank-you should be personal and well thought out, just like your fundraising campaigns.

Ideally, address the donor by name and state the exact amount and the project they contributed to. Instead of a generic “thank you for your support,” something like this sounds much stronger:

“Thanks to your donation of CZK 1,000, we were able to provide tutoring for 10 children for a month.”

🕒 Timeliness and consistency

The faster you say thank you, the stronger the first impression. Ideally, the donor should receive the message within 24–48 hours, when their enthusiasm is at its peak. Data shows that if the thank-you arrives within 48 hours, the chance of another donation increases fourfold.

But a quick thank-you is not everything – it is only the first step, which should be followed by further communication.

Consistency means that every donor receives a thank-you of the same standard. The size of the donation does not matter – whether someone gave CZK 200 or CZK 20,000, everyone should feel that they matter to you.
The format may vary (smaller donation = email, larger donation = letter or phone call), but the tone must always be personal, warm and in line with your organization's values.

🎯 Segmentation and care by donor type

Without segmentation, it easily happens that you thank everyone in the same way – and thus, in fact, no one properly. That is why it is important to think through how to communicate differently after the first donation and differently during recurring giving.

  • A first-time donor needs an immediate, sincere thank-you. This is where the “golden donation” is born – the second contribution, which often opens the way to long-term support. Show them that their donation has a specific impact. Personalized videos or a short email series that guides the donor through the first period and draws them into the life of the organization can serve as inspiration.

  • A recurring donor appreciates a sense of belonging. A simple “thank you for your donation” is no longer enough. Let them know that they are part of your community and that their support really means something. Offer an annual impact report, an invitation to a webinar or exclusive content – anything that strengthens the relationship and shows that you value their support.

  • Communication with corporate and major donors is so specific that it would deserve an article of its own.

Video and visual storytelling

Video is the king of emotions. A short personal message from the director, a beneficiary or a volunteer can capture attention and open the donor's heart – the open rate can exceed 80%. Behind-the-scenes videos are also great inspiration: a short livestream, a mini-report or footage of what is happening right now thanks to donations. Playful animated GIFs or reels, which spread easily and quickly draw donors in, can also be a success.

Content and community engagement

A thank-you can also be content that actively engages donors. Share donor stories – present them as heroes whose support changes the world. Communicate from the donor's perspective (so-called supporter-centered communication) and offer exclusive webinars or access to non-public content.

  4. Visualize impact – turn numbers into concrete results: meals, hours of help, vaccinations, real life stories.

  5. Measure and optimize – track retention, the second donation, email open rates, and learn from the data so that your thank-yous become ever more effective.

A thank-you is not just a formal step – it is the beginning of a real relationship between you and your donors. When it is timely, personal and authentic, it shows that you truly value your donors and opens the way to long-term and sustainable support. Donors want to feel that they are part of the story, and that is exactly what a thank-you allows them to feel – that their contribution really makes a difference and that their role matters to you.
